CORONAVIRUS COVID-19 PROTOCOL

The objective of the present protocol is to detail the preventive measures implemented by Grupo Hortofrutícola Murciana de Vegetales, S.L. and its scope of action to contain and stop contagion from exposure to CORONAVIRUS COVID-19.

Subjective fear of possible contagion does not justify an absence from work.

As long as there is no instruction from Public Health or the Company that allows or forces the worker to stay at home, the absences could be considered unjustified.

If a quarantine is imposed on a worker from Public Health, absence from work would be justified and the worker would be in a situation of temporary disability with benefits assimilated to professional contingencies.

Those who present symptoms compatible with the coronavirus, such as fever, dry cough or respiratory distress, must notify those people responsible for the Company and immediately contact the health authorities.

If since March 9, you have travelled to areas under a phase of significant community transmission (Community of Madrid, La Rioja, the city of Vitoria and the town of Labastida), or have had any contact with people from those areas, do not go to your workplace and stay at your home until a quarantine period elapses.

 

Also, you must notify it to the Company.

The obligation to notify and the ban on joining the workplace extends to any worker who has recently travelled.

If symptoms appear at home:

  • You must get in touch with health services by calling the Murcia Region Coronavirus Telephone 900121212. Emergency Telephone 112.
  • Any worker with symptoms compatible with the disease will not go to the workplace and will notify the Company.
  • In any case, he will keep the Company informed of the progress.
  • It is recommended that all workers take their temperature every day. If he has a fever above 37 °, he will not go to work and will notify the Company.

If symptoms appear at the workplace:

  1. If a worker falls ill while on the job with the symptoms described above, they should report it immediately.
  2. He must also inform the Company of the workers whom he has been in contact with.
  3. The Company will inform the health authorities of the Region of Murcia by following their instructions at all times.

 

 

SYMPTOMS

  • Fever above 37 °.
  • Cough.
  • Feeling of shortness of breath.

 

Any worker who has been in contact, directly or indirectly, with a person who has manifested the symptoms, will notify the Company immediately.

This worker will remain at home for a period of not less than 5 days (following WHO recommendations *), joining his job on the sixth day if he has not shown symptoms.

* How long is the COVID-19 incubation period?

The “incubation period” is the time between virus infection and the onset of symptoms of the disease.

PREVENTIVE MEASURES IMPLEMENTED

 

WAREHOUSE:

  • Establishment of 2 working shifts for warehouse production workers (handling operators, warehouse assistant, fork-lift operators and specific positions): one from 7:00 a.m. to 2:00 p.m., and another from 3:00 p.m. to 10:00 p.m. h. This measure will be implemented from 16/03/2020. These are weekly rotating shifts.
  • It will take the temperature to all workers before the beginning of each shift. If it exceeds 37 ° the worker may not access their job and will be sent back home.
  • It is recommended that workers take the temperature before leaving home, telling them not to come to work if it exceeds 37 °. In this case they must call informing the Company.
  • The warehouse has available 4 lettuce handling lines. Being the priority to guarantee the safety distance of 2 meters between workers, additional ones will be put into operation if needed.
  • Commutings:

o Workers on one of the shifts travel to the warehouse in their private vehicles. The Company has recommended that no more than one person travels in the same vehicle. In any case, and according to article 3.3 of the order TMA / 254/2020, of March 18, two workers (the driver and another passenger who will travel behind the passenger seat) can travel together on a car, and always provided with masks.

o On the other shift, some workers travel in private vehicles and others by bus. Around 20 workers use the bus service organized by the Company. This bus has a capacity of 65 seats, so it does not occupy more than a third of the maximum occupancy of the vehicle (according to article 3.3 of the order TMA / 254/2020, of March 18). With this we guarantee the safety distance, and also having the supervision of a person from the Company upon arrival of the bus at the facilities.

o The driver has hydroalcoholic gel. Workers must clean their hands before boarding the bus and travel with their masks on.

o It is not allowed to use the seat behind the bus driver.

o The Company has provided all workers with the corresponding Responsible Declaration Template to be issued for workers who do not have to benefit from the recoverable paid leave contained in Royal Decree-Law 10/2020 completed and signed by the General Management (*)

  • In the office of the warehouse, work shifts have also been organized for the 4 people who work there regularly, 2 in the morning and 2 in the afternoon. Additionally, the person in charge of Logistics has been located in another room of the Company, limiting his communications with the warehouse manager by telephone, email, Skype and / or WhatsApp, to avoid physical contact during the period they overlap their working hours. A screen has also been placed between the factory manager (morning shift) and her deputy (afternoon shift) to avoid physical contact during the minimum time they work together.
  • Work and common areas organization in order to reduce the number of exposed workers, establishing rules to avoid and reduce the frequency and the person-to-person contact (bus, dining room, warehouse work lines, toilets, etc.)
  • The warehouse managers will organize the entry and exit of workers to avoid that the distance of 2m is not respected in the common areas (washbasins, toilets, biometric clock, lockers, etc.). If necessary, it will be done in a series of steps.
  • Workers have been informed that during the morning (lunch) and afternoon (snack) breaks, they must sit on the benches of the dining room in a zigzag, so that the safety distance of 2m is guaranteed. Preferably always using the same seat and with the same people around.
  • Temporary access to the facilities via fingerprint will not be operational, it will be done with a card.
  • The lockers in the workers access corridor have been disabled to avoid crowds of workers, as it is a narrow area. Orders have been given to workers for using the lockers of the changing rooms in the dining area, which are located in a larger space.
  • The doors of the warehouse for workers access will be opened before they enter and leave each shift in order to boost ventilation, this will be done as well on the entry and exit of lunch and snacks breaks.
  • The supply of hand sanitizing gel dispensers has been reinforced, placing them at key points such as gatehouse, warehouse and office entrance, shipping area, reception, etc.
  • The necessary PPE, mainly masks and gloves, have been supplied to all workers. They will be renewed according to the needs and supply capacity of the Company to receive supply of the materials.
  • Workers have been advised not to share food, especially food brought from home, or even share tobacco to those who are smokers.
  • Training courses and meetings of a large number of people have been suspended.
  • Access to the facilities has been forbidden to external personnel such as visits from clients, quality technicians, etc. Visits that are essential will be analysed on a case-by-case basis. In this case, a health questionnaire has been implemented which incorporates a temperature measurement at reception with prior authorization, (reception has been provided with a thermometer)
  • Drivers´ trucks accessing the facilities have been prohibited from getting off the truck during the process of loading or unloading goods. In order to do this, the entrance control of personnel from outside the Company has been reinforced and one more person has been incorporated at the gatehouse exclusively to perform these tasks. They also have a thermometer to take the temperature, in case they have to take a measurement, discriminate access to people with febrile symptoms.
  • As the external drivers´ trucks are unable to access, logistics workers and fork-lift operators will have to put the bars on and off the truck.
  • The Company keeps informed and instructed to loading, unloading, shipping and logistic personal all time in order to avoid possible infections.
  • All necessary resources have been implemented so workers can work from home (telework). when it is viable.
  • The cleaning team has been reinforced to disinfect common areas, bathrooms and dining rooms (before and after each shift, as well as at lunch and snacks breaks). There will be a continuous person on each shift only exclusively to disinfect the bathrooms, emphasizing the toilets, sinks, doorknobs and doors. For this, bleach and a bactericide are being used.
  • Disinfection of the different areas of the Company, both external (enclosure parking, corridors and passage areas, stairs, pedestrian crossings, etc.) and internal (toilets, dining room, changing rooms, corridors, warehouse office, labels, shipments and production áreas). It will be done by spraying with a backpack for the interior areas and with a tub and a tractor for the exterior areas, with a disinfectant product diluted in water.
  • Adopt, where appropriate, specific measures for particularly sensitive workers, such as pregnant women, who have been identified. By the time the first case in the Company is detected, the access to the Company of such people will be avoided.

 

 

MEASURES IMPLEMENTED FOR EXTERNAL WORKERS:

 

  • The entrance control of personnel from outside the Company is reinforced. One more person has joined the gatehouse to exclusively perform these tasks.
  • External carriers that come to our facilities to load and unload are prohibited from getting off the truck. In case they have to do it, they will be taken a temperature measurement, prior authorization, so that the Company reserves the right of admission if it exceeds 37 °, or when the affected person refuses to authorize it to take it.
  • It is strictly forbidden to access our production facilities.

 

 

FIELD

The plantation and harvesting crews have been given the following indications:

  • Two or more crews are not allowed to eat or do other activities together. They must do so independently and separately. In addition, members of the same crew must keep 2m apart from each other.
  • Field dining room sets are disinfected after each use.
  • The exchange of workers from one crew to another is not allowed.
  • The harvest platforms have hand sanitizing gel.
  • A series of coronavirus information posters have been placed on harvest platforms, with an emphasis on hygiene. Informing those responsible for the measures to be taken.
  • The necessary PPE, mainly masks and gloves, have been supplied to all workers. They will be renewed according to the needs and capacity of the Company to receive supply of the materials.
  • To ensure the safety distance of 2m between workers:

o Free seats will be left on the plantation platforms.

o On harvest platforms. Placing workers on both sides of the platform in a zigzag, widening the gap between them.

o Polycarbonate partitions have been placed at certain workplaces of planting and harvesting platforms where the safety distance of 2m can not be guaranteed.

  • Commutings:

o Workers who travel in their private vehicles to the plantations (Fuente Álamo area). The Company has recommended that no more than one person travel in the same vehicle. In any case, and according to article 3.3 of the order TMA / 254/2020, of March 18, two workers (the driver and another passenger who will travel behind the passenger seat) can travel together on a car, and always provided with masks.

o Workers who travel to the plantation in Company buses outside the Fuente Álamo area, mainly Cieza. No more than a third of the available seats of the maximum occupancy of the vehicle will be occupied (according to article 3.3 of the order TMA / 254/2020, of March 18). They will always be provided with masks.

o The Company has provided all workers with the corresponding Responsible Declaration Template to be issued for workers who do not have to benefit from the recoverable paid leave contained in Royal Decree-Law 10/2020 completed and signed by the General Management (*)

  • Key staff from the different field departments, mainly production and technical department, have been instructed so that their members try not to physically coincide, limiting their communications only by telephone, email, Skype and/or WhatsApp.

 

SEEDBED:

  • It has placed informative posters and hand sanitizer gel.
  • Work has been organized to arrange three shifts of workers.
  • The necessary PPE, mainly masks and gloves, have been supplied to all workers. They will be renewed according to the needs and capacity of the Company to receive supply of the materials.
  • Commutings:

o Workers travel in their private vehicles to their seedbed workstation. The Company has recommended that no more than one person travel in the same vehicle. In any case, and according to article 3.3 of the order TMA / 254/2020, of March 18, two workers (the driver and another passenger who will travel behind the passenger seat) can travel together in a car, and always provided with masks.

o The Company has provided all workers with the corresponding Responsible Declaration Template to be issued for workers who do not have to benefit from the recoverable paid leave contained in Royal Decree-Law 10/2020 completed and signed by the General Management (*)

 

ADMINISTRATION AND COMMERCIAL DEPARTMENT

  • Teleworking has been established for all workers in these departments, with the exception of the reception clerk, who has flexible hours from 09:00 to 14:00, working from home the rest of the day.
  • The provision of hand sanitizing gel dispensers in reception has been reinforced.
  • Informational posters have been placed in the toilets.
  • Disinfection of the access and stairs of the administration offices. It will be done by spraying with a backpack and / or with a tank and a tractor for the outside areas with a disinfectant product diluted in water.
  • Access to the facilities has been forbidden to external personnel such as visits from clients, quality technicians, etc. Visits that are essential will be analyzed on a case-by-case basis. In this case, a health questionnaire has been implemented which incorporates a temperature measurement at reception with prior authorization, (reception has been provided with a thermometer)
  • The reception clerk has been provided with a mask and gloves.

 

  • Commutings:

o For these workers, attending to their workplace at the Company is restricted to what is strictly essential (payroll, taxes, payments to suppliers, etc.) and must be previously organized with HR to avoid unnecessary coincidences. If it is necessary to do it, they will move individually in their private vehicles

o The Company has provided all workers with the corresponding Responsible Declaration Template to be issued for workers who do not have to benefit from the recoverable paid leave contained in Royal Decree-Law 10/2020 completed and signed by the General Management (*)

(*) Fruit and vegetable production is considered an essential activity, according to the Annex to Royal Decree Law 10/2020, of March 29, 2020, which regulates a retrievable paid leave for employed persons who do not provide essential services in order to reduce population mobility in the context of the fight against COVID-19:

  1. Those who work in activities related to the market supply chain or in the operational process of the centres which provide services for the production of basic goods and services. This includes food, beverages, animal feed, hygienic products, medicines, sanitary products or any necessary product for the protection of health, being allowed the distribution of these products from origin to final destination.

 

 

GENERAL RECOMMENDATIONS

HOW TO WEAR, USE AND REMOVE A MASK

  1. Before touching the mask, wash your hands with an alcohol-based disinfectant or soap and water.
  2. Inspect the mask for tears or holes.
  3. Face up the upper part (where the metal strip is located).
  4. Be sure to place upwards the correct side of the mask (the colored side).
  5. Place the mask on your face. Pinch the metal strip or rigid edge of the mask so that it fits with the shape of your nose.
  6. Pull down on the bottom of the mask to cover your mouth and chin.
  7. After use, remove the mask; remove the elastic straps from behind the ears keeping the mask away from the face and clothing, in order not to touch the potentially contaminated surfaces of the mask
  8. Wash your hands after touching the mask. Use an alcohol-based disinfectant or, if they are visibly dirty, wash them with soap and water.

FOLLOW THESE INDICATIONS FROM THE HEALTH AUTHORITIES AT ALL TIMES. THEY ARE AVAILABLE IN THE COMMON AREAS, TOILETS AND DINING ROOM OF THE COMPANY.
